Healthcare providers are faced with the challenge of providing optimum levels of service and quality while operating as cost-efficiently as possible. It is a mission-critical challenge further complicated by the need to manage and secure medical transactions, patient records, and staff information and to have it all available to customers, vendors, healthcare providers, and a growing number of regulatory agencies.

Where the overall goal is cost-effective access to healthcare information, there are numerous document management solutions that have been implemented. The most common ones have been for the storage and retrieval of Medical Records.

Medical records conversions
Most healthcare organisations convert their paper medical records into an analog or digital image when it moves to an inactive status. This allows for significant savings in storage space, and an opportunity to provide for safe long-term archival. We can convert inpatient, outpatient, emergency room, fetal monitor strips, and other paper records to microfilm and/or digital images, as well as providing purge, destruction, and file format conversion services.

Microfilming
Microfilm remains an excellent tool for permanently addressing record archiving while insuring convenient access. Additional benefits include: improved document control, file integrity, disaster recovery, and 95% space reduction. Conversion to film is the most affordable long-term archive alternative and the investment yields a truly once-for-all solution. By incorporating a database with a microfilm program, healthcares systems with this database can search for archived charts on microfilm in a fast and semi-automated process.

Scanning
Microsystems can also provide the advantages of digital imaging technology. Instead of transforming the document image to film, it is scanned and transformed to a digital image that can be stored on any digital storage medium, such as a CD or a system storage device. As part of the process, the key index fields (medical record number and patient name) are recorded, and an online index is created that allows for rapid retrieval of any document from a document retrieval system. Microsystems can format the image to be accepted by commercially available document management systems, or on Alchemy, which provides the capability to easily access the images by simply loading the CD into any PC.
